The Provincial Communications and Veterinary Administrative Assistant role serves as the first point of contact for clients, and the community at Cape Breton Tartan Tails. This position ensures that in-person, phone, and electronic communications are handled professionally, efficiently, and with a focus on client service. The ideal candidate is organized, personable, and committed to supporting the hospital and SPCA’s mission, creating a welcoming environment for all visitors and callers.
This role is central to maintaining positive relationships with clients and the public, managing appointment scheduling, and supporting the administrative and communication needs of the hospital team.

Key Duties and Responsibilities:
Communications:.
- Greet clients and visitors in a warm and professional manner.
- Answer inbound phone calls, emails, and in-person inquiries.
- Book, confirm, and manage hospital appointments accurately.
- Provide information about hospital services, programs, and procedures.
- Manage client accounts, ensuring records are up to date.
- Follow established communication scripts and procedures for consistency.
- De-escalate and resolve client concerns in a professional and empathetic manner.
- Support clients with forms, check-ins, and hospital navigation.
- Accurately log client communications and appointments in the hospital system.
- Support internal communications between reception, veterinary staff, and management.
General and Administrative Responsibilities:
- Assist hospital staff with daily administrative tasks as needed.
- Assist with generating reports on client activity, inquiries, and program participation as requested by management
- Maintain accurate records of client interactions, inquiries, and follow-ups.
- Support hospital initiatives and SPCA programs as assigned.
- Contribute to a positive, collaborative, and inclusive team environment.
- Supports the department by performing all other duties as assigned.

Required Experience, Skills and Qualifications
- Experience working in an animal hospital or clinic would be considered an asset.
- Completion of a related post-secondary program would be considered an asset.
- Proven experience in customer service or client support role.
- Experience working and navigating veterinary or office software is an asset.
- Experience in maintaining confidentiality and handling sensitive information appropriately.
- Familiarity with office phone systems and managing multiple lines efficiently.
- Strong English language verbal and written communication skills are a requirement of this position.
- Excellent attention to detail, especially with data entry.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong task, priority, and time management skills.
- Comfort working collaboratively and effectively in a team setting, and across all levels of the organization with various stakeholders.
- High level of enthusiasm for results, and maintains a professional approach to all interactions; Excellent people skills.
Physical Requirements
- Physical ability to sit, as well as walk and/or stand on your feet throughout a normal workday, is required.
- Physical ability to lift and carry 40 pounds
- Ability to manage frequent interruptions and varied clinic conditions.
Hours of Work
Work responsibilities require a minimum of 32 hours per week plus additional overtime as required to fulfill the duties associated with the position. Willingness to work a flexible schedule for late cases or urgent communications as needed.
