Are you passionate about helping people and animals? Do you enjoy helping to make a difference in your community? If so, we want you to join our Dartmouth SPCA Shelter team as Receptionist & Office Administrator.

A Receptionist & Office Administrator is a key member of the shelter team, serving as the first point of contact for the community. This position ensures that in-person, phone, and electronic communications are handled with empathy and professionalism.

This position is essential in building positive relationships with the community. In addition, this position may also participate in the day-to-day animal care.

Responsibilities:

  • Provide a wide range of administrative and clerical duties under low supervision.
  • Assist members of the public in person, over the phone and via email communication.
  • Maintain professional interactions with the public, staff and volunteers in a fast-paced, sometimes hectic and noisy environment while remaining calm, focused, resourceful and efficient is critical to this role.
  • Ask probing questions to obtain information useful in providing support or solutions to community members.
  • Educate the public on SPCA programs and services, and general animal care-related information.
  • Place outbound calls, emails, and messages to confirm appointment bookings or to provide appointment instructions.
  • Maintain accurate records for animal inventory, health, medications, treatments, procedures and behaviour history.
  • Assures all nutritional, housing, grooming and medical needs are met on a daily basis according to approved processes.
  • Responsible for maintaining a safe and sanitary facility for animals and people.
  • Provides humane handling and care for all shelter animals.
  • Completes other duties as assigned

Qualifications & Experience:

  • A Veterinary Assistant certificate is an asset.
  • Prior experience in an animal shelter or veterinary clinic setting.
  • Proven customer service experience.
  • Professional demeanour when navigating difficult client conversations.
  • Excellent skills in building connections with the community.
  • Excellent verbal and written communication skills.
  • Strong time and task management skills
  • Ability to work independently and as part of a team.
  • Working knowledge of Microsoft Office applications and office procedures.
  • Knowledge and experience working in of databases
  • A driver’s license is required

Physical Requirements:

  • Physical ability to walk and/or stand on your feet throughout a normal workday required.
  • Physical ability to lift and carry 40 pounds regularly.
  • Working conditions include working alone, working outside in varying weather conditions, frequent interruptions, and some meetings.

Hours of Work:

Hours of work range between 8 am and 8 pm daily. There will be a regular weekly set schedule, which will involve at least one weekend day.
